The Client

MedCare Plus is a multi-specialty healthcare provider group operating several clinic locations, relying on its website as the primary channel through which new patients discovered the practice, checked specialties and doctor availability, and requested appointments. For a healthcare group where every missed inquiry is a patient who may go elsewhere, the website wasn't just a brochure โ€” it was meant to be the front door of the business. Across its locations, the group covers a wide range of specialties, and each clinic operates on its own appointment schedule, which meant the website needed to route a visitor to the right doctor, at the right clinic, without adding friction to what is often an already stressful moment for the patient.

The Challenge

It wasn't working as one. The existing site ran on an outdated content platform with average mobile page load times over 6 seconds โ€” long enough that a meaningful share of visitors were likely abandoning before the page even finished rendering. Navigation mixed specialties, locations and services with no consistent structure, so a visitor looking for a specific doctor at a specific clinic often had to hunt across several pages to find what they needed. Worse, every appointment request and contact form submission dropped into a shared inbox with no CRM behind it, meaning inquiries were frequently delayed, duplicated across staff, or simply missed during busy periods. There was no clear, consistent conversion path on any page, minimal visible trust signals like credentials or accreditations, and the mobile experience โ€” where the majority of inquiry traffic originated โ€” was cramped and slow. Analytics showed a steep drop-off between a visitor landing on a specialty page and actually reaching a contact form, and staff exit interviews with front-desk teams confirmed what the data suggested: patients were calling in confused about which clinic to go to because the website simply hadn't made it clear.

Our Strategy

We approached this as both a design problem and an operations problem, working through website development across four workstreams:

  • CRM integration: every form submission and tracked call was routed automatically into the practice's CRM with source, location and specialty tagging, and assigned instantly to the correct front-desk team instead of sitting in a shared inbox.
  • Conversion rate optimization: structured A/B testing on hero messaging, shortened appointment forms, a sticky mobile appointment CTA, and dedicated location-specific landing pages replacing the old one-size-fits-all contact page.

The rebuild was mobile-first and accessibility-conscious throughout, reflecting the reality that most patients were finding and contacting the practice from a phone, often while dealing with a time-sensitive health concern. Each clinic location also received its own dedicated page with accurate hours, doctor availability, and directions, replacing a single shared "Locations" page that had been forcing visitors to cross-reference information across tabs just to confirm where and when they could actually be seen.
